Client Coaching Agreement

Private Coaching Terms

At Ascendant Fitness, coaching is delivered as a highly personalised partnership built around performance, wellbeing, accountability, and long-term progress. These terms establish clear expectations and ensure the highest standard of service for every client. By enrolling in any Ascendant Fitness programme, you acknowledge and agree to the following terms.

The Coaching Partnership

Ascendant Fitness provides bespoke coaching services that may include:

  • Personalised training programming
  • Nutrition coaching and guidance
  • Lifestyle optimisation strategies
  • Accountability and progress tracking
  • Educational resources
  • Ongoing support and consultation

Our role is to provide expert guidance, structure, and support.

Your role is to actively participate, communicate openly, and apply the recommendations provided. The greatest results are achieved when both parties commit fully to the process.

Client Commitment

To maintain the quality and effectiveness of coaching, clients are expected to:

  • Complete onboarding requirements honestly and accurately
  • Communicate openly regarding progress and challenges
  • Follow agreed coaching protocols consistently
  • Submit check-ins where required
  • Notify their coach of any relevant changes in health, lifestyle, or circumstances

Coaching is a collaborative process. Sustainable progress requires engagement and personal responsibility.

Health Screening & Medical Responsibility

Important — please read before starting. Exercise and physical training carry an inherent risk of injury. Before beginning any Ascendant Fitness programme you must disclose to your coach any medical conditions, injuries, chronic illness, pregnancy, recent surgery, or prescription medication that may affect your ability to train safely. If you are in any doubt about your fitness to exercise, consult your GP before starting.

Ascendant Fitness operates within the scope of fitness and lifestyle coaching. We do not diagnose, treat, or manage medical conditions and our services should not be considered a substitute for medical advice, diagnosis, or treatment.

Clients are responsible for obtaining medical clearance where appropriate and for keeping their coach informed of any changes in health or circumstances throughout the programme.

If any exercise, nutrition, or lifestyle recommendation causes pain, dizziness, illness, or adverse symptoms, cease activity immediately and seek appropriate medical attention.

Results & Outcomes

Every client arrives with a unique history, physiology, lifestyle, and set of circumstances. For this reason, specific results cannot be guaranteed and individual outcomes will vary.

While Ascendant Fitness is committed to delivering exceptional coaching, outcomes depend upon numerous factors including:

  • Consistency and adherence to the programme
  • Lifestyle habits and sleep quality
  • Recovery and stress management
  • Individual physiological response
  • Accuracy of information provided during onboarding

Our commitment is to excellence in coaching. Your results are ultimately shaped by the actions taken outside of coaching sessions.

Support Hours & Response Times

Coaching support is available by direct message (WhatsApp Business) Monday to Saturday, 07:00–20:00 UK time, and Sunday, 07:00–16:00 UK time.

Messages sent outside those hours will be answered when we next open. During opening hours, the aim is to respond within the same day. This is a personal coaching service delivered by messaging — it is not an on-demand or emergency service, and response times cannot be guaranteed to the minute.

For anything urgent relating to health or safety, please contact the relevant emergency services rather than waiting for a coaching reply.

Communication may also take place through scheduled check-in calls, video consultations, and email, as agreed within your programme.

Confidentiality & Privacy

Discretion is a core value of Ascendant Fitness. All personal information, progress data, photographs, communications, and coaching records are handled with professionalism and confidentiality.

Information will never be shared with third parties without consent unless required by law. Many clients choose Ascendant Fitness because they value privacy, and we treat that responsibility seriously.

Investment & Payment

Coaching fees are outlined at the time of enrolment. By joining a programme, clients agree to maintain payments according to their selected package.

Failure to maintain payments may result in:

  • Suspension of coaching services
  • Restricted access to coaching systems
  • Programme termination

All fees remain payable unless otherwise agreed in writing.

Ascendant Fitness is not currently registered for VAT; prices shown are not subject to VAT.

Minimum Term & Cancellation

Your right to cancel (Consumer Contracts Regulations 2013). If you are a consumer purchasing a coaching service online, you have the right to cancel within 14 days of the date your contract is formed (the "cooling-off period") without giving any reason, and to receive a full refund. To exercise this right, notify us in writing before the 14-day period expires — by email to zak@ascendantfitness.com — stating your name, the programme purchased, and that you wish to cancel. We will process your refund within 14 days of receiving your cancellation notice.

Exception — early start: If you ask us to begin delivering your programme before the 14-day cooling-off period expires, you acknowledge that your right to a full refund will be reduced proportionally to reflect the coaching already delivered. If the programme is fully delivered within the cooling-off period, you lose the right to cancel entirely. We will ask for your express consent to an early start before commencing.

Monthly coaching programmes have a minimum initial term of 3 months. After the minimum term, you may cancel at any time by giving at least 30 days' written notice to zak@ascendantfitness.com. Notice received after a billing date takes effect at the end of the following billing period.

Fixed-term and one-off programmes (including the 7-Day Jumpstart, 12-Week Transformation, and any single-payment programme) are non-refundable once the programme plan has been delivered, except where your statutory cooling-off right applies as described above.

Our coaching capacity is intentionally limited to maintain service quality. Cancellation notices must be submitted in writing; verbal cancellations are not accepted.

Client Conduct

Ascendant Fitness is committed to maintaining a respectful, professional environment. We reserve the right to terminate coaching relationships where there is:

  • Abusive behaviour or harassment
  • Repeated failure to engage with coaching
  • Dishonest conduct
  • Behaviour that compromises the wellbeing of our team or coaching environment

In such circumstances, coaching services may be withdrawn immediately.

Where termination is at our initiative without cause, any unused prepaid fees will be refunded on a pro-rata basis.

Intellectual Property

All coaching systems, methodologies, resources, documents, training programmes, educational materials, and content remain the exclusive property of Ascendant Fitness.

Materials provided to clients are for personal use only. They may not be copied, distributed, reproduced, sold, or shared without prior written consent.

Testimonials & Success Stories

We are proud of the transformations our clients achieve. Any testimonial, review, progress image, or case study will only be published with explicit consent.

Client privacy and discretion always take precedence over marketing considerations.

Limitation of Liability

Participation in fitness, nutrition, and lifestyle coaching carries inherent risks, including the risk of injury. By participating in Ascendant Fitness services, clients acknowledge these risks and confirm they have completed the health screening requirements in the "Health Screening & Medical Responsibility" section above.

Nothing in this agreement limits or excludes liability for:

  • Death or personal injury caused by our negligence
  • Fraud or fraudulent misrepresentation
  • Any other liability that cannot be excluded or limited by law

Subject to the above, Ascendant Fitness shall not be liable for indirect, incidental, or consequential losses (including loss of profits or business opportunities) arising from participation in coaching services. Our total liability for any claim shall not exceed the total fees paid by you for the relevant coaching service in the 12 months preceding the claim.

Governing Law

This Agreement shall be governed by the laws of England and Wales. Any disputes arising from coaching services shall be subject to the exclusive jurisdiction of the courts of England and Wales. If you are a consumer, you may also be entitled to bring proceedings in the courts of the country where you are resident.
